Service Policies

Last updated: August 2026 · These policies sit alongside our Terms & Conditions and govern each Valmore service line. Where a signed engagement letter, proposal or plan differs, that document prevails.

Security & Protective Services

Executive protection, residential security, travel risk and secure logistics delivered through licensed protective partners under Valmore supervision.

Scope

Coverage includes residential security assessments, access and staff vetting, executive protection details, secure ground movements, travel risk advisory and emergency response coordination with partners such as our global security network for ultra-high-net-worth clients.

Vendors and third parties

Where Valmore engages a vetted vendor, supplier or licensed operator on your behalf, Valmore acts as your coordinating agent, not as the provider of the underlying service. Each vendor is credential-checked, insured and contracted before assignment. The vendor remains responsible for the performance of its own work and for its own insurance; Valmore is responsible for selection, supervision, reporting and escalation on your behalf. All protective personnel hold the licences required in their jurisdiction (in Florida, Chapter 493 licensing), carry their own liability coverage and operate under written post orders approved by you.

Confidentiality

Every operator, driver and technician signs a Valmore non-disclosure agreement before deployment. Household details, itineraries, guest lists and security layouts are handled on a strict need-to-know basis and are never shared with other clients, partners or marketing.

Booking, minimums and cancellation

Protective details are booked in minimum 8-hour shifts with a 72-hour advance notice standard. Cancellation more than 48 hours before deployment is free; inside 48 hours, 50% of the shift is charged; inside 12 hours or after mobilisation, the full shift is charged. Emergency mobilisation inside 24 hours carries a surge rate quoted in writing before dispatch.

Liability

Valmore does not guarantee any specific security outcome. Liability for a vendor's acts or omissions rests with the vendor and its insurers; Valmore's own liability is limited to the fees paid for the coordination of the engagement in question.

Travel, Vacation Packages & Planning

Itinerary design, villa and hotel reservations, private aviation, yachts, experiences and destination logistics booked through third-party suppliers.

Valmore acts as your agent

Travel packages are assembled from third-party suppliers — hotels, villas, airlines, charter operators, ground transport, guides and experience providers. Valmore books, negotiates and supervises on your behalf; the supplier's own terms, rates, deposits, change fees and cancellation windows govern each booking and are disclosed to you before payment.

Deposits and payment

Supplier deposits are non-refundable once remitted, in line with the supplier's policy. Valmore's planning fee is quoted up front, is separate from supplier costs and is earned on delivery of the itinerary. Any supplier refund is returned to you in full, less amounts the supplier retains.

Best price, discounts and rate changes

Valmore always attempts to secure a rate below the advertised price and passes 100% of any negotiated saving, coupon, seasonal promotion or corporate rate to you. Quoted rates are held only for the validity period stated in the proposal; supplier availability and currency movement can change a rate until the booking is confirmed and paid.

Changes and cancellation

Change and cancellation requests are actioned immediately and follow each supplier's rules. Valmore's planning fee is non-refundable once the itinerary has been delivered; where a trip is cancelled before delivery, the fee is prorated to work completed.

Documents, insurance and risk

You are responsible for valid passports, visas, entry permits and health requirements; Valmore advises but cannot guarantee entry. Travel insurance including medical evacuation is strongly recommended and can be arranged. Valmore is not liable for supplier failure, weather, strikes, closures or other events beyond our control, but will re-plan and pursue supplier remedies on your behalf.

Pet & Dog Sitting

In-home pet care, dog walking, feeding, medication administration and overnight sitting for resident and travelling clients.

Scope

Service includes scheduled visits or overnight stays, feeding and fresh water, walks and exercise, litter and waste management, medication administration where a written protocol is provided, plant and mail attention during the same visit, and a photo-and-note report after every visit.

Health, vaccination and behaviour

Pets must be up to date on vaccinations, and you must disclose any history of biting, aggression, anxiety or medical condition before service begins. Valmore may decline or discontinue care for an animal that presents a safety risk to staff, with fees charged for visits already performed.

Veterinary authorisation

You authorise Valmore to seek emergency veterinary care if an animal appears ill or injured and you cannot be reached. You remain responsible for all veterinary costs, which are invoiced at cost with no markup. Your preferred veterinarian and an emergency contact are recorded in your client file.

Booking, keys and cancellation

Bookings are confirmed in writing with dates, visit times and a key or access code held under our secured access protocol. Cancellation more than 48 hours before the first visit is free; inside 48 hours, 50% of the booking is charged; holiday periods require 7 days notice and are non-refundable inside that window.

Relocation & Settling-In

Arrival planning, housing search, school and healthcare placement, utilities, documentation support and settling-in across our covered jurisdictions.

Scope

Relocation is delivered in phases — discovery, orientation, housing search and negotiation, lease or purchase coordination, utilities and connectivity, school and healthcare introductions, banking and documentation support, move-in supervision and a 30-day settling-in follow-up.

No legal, immigration, tax or investment advice

Valmore is not a law firm, immigration adviser, tax adviser or licensed real-estate brokerage. We coordinate and introduce licensed professionals in each jurisdiction and supervise delivery; all legal, immigration, tax, residency and investment advice comes from those licensed professionals under their own engagement terms and fees.

Fees, timelines and third-party costs

Relocation is quoted as a fixed phase fee or a retainer against an agreed scope. Government filing fees, legal fees, brokerage commissions, deposits, shipping and customs charges are third-party costs passed through at cost. Timelines depend on landlords, schools, banks and authorities and cannot be guaranteed.

Cancellation

You may cancel at any time with written notice. Fees for completed phases are non-refundable; the balance of any retainer is refunded within 10 business days, less third-party costs already committed.

Signature Partner Program

Terms for hotels, restaurants, vendors, brands and service providers admitted to the Valmore Signature Partner network.

Admission and standards

Admission follows verification of licensing, insurance, ownership, reputation and service standards. Partners must maintain those standards throughout the term, honour agreed client benefits, and respond to Valmore client requests within one business day.

Referrals and commercial terms

Partner listing and referral terms — including any listing fee, referral fee, commission or reciprocal arrangement — are set out in the individual partner agreement. Valmore never guarantees a volume of referrals and does not sell placement priority to clients; recommendations to clients are made on suitability.

Brand, marks and content

Partners grant Valmore a non-exclusive licence to display their name, logo and approved photography on Valmore properties, directories, proposals and marketing for the duration of the partnership. Partners may use the Signature Partner mark only in the form and contexts approved in writing, and must cease use within 15 days of termination.

Client experience and conduct

Any Valmore client complaint is investigated jointly. Valmore may suspend or remove a partner immediately for a safety, licensing, discretion or conduct failure. Partners must protect client confidentiality, never contact a Valmore client for direct solicitation outside the referred engagement, and never disclose a client relationship publicly.

Term and termination

Partnerships run for 12 months and renew automatically unless either party gives 30 days written notice. Fees already paid for a current term are non-refundable on voluntary withdrawal or removal for cause.

Car Care Packages & Concierge Transportation

Detailing, maintenance oversight, storage supervision, transport and chauffeured rides — sold as prepaid six-month packages.

Six-month package term

Every car care and Concierge Transportation package is valid for six (6) months from the activation date shown on your invoice. Included services, visits or rides must be used within that period; unused items expire at the end of the term and are not refundable or transferable to a new term unless Valmore agrees otherwise in writing.

Price adjustment after the term

Your package price is locked for the full six-month term. At renewal, the price may be adjusted to reflect current rates, labour, parts, fuel and vendor costs. Any adjustment is communicated in writing at least 14 days before renewal, and you may accept, change tier, or decline renewal with no penalty.

Scope of care

Car care covers scheduled detailing, paint and interior condition monitoring, battery and tyre checks, fluid and service-interval tracking, storage and climate supervision, transport coordination and documented condition reports with photographs at every visit.

Transportation and rides

Concierge Transportation is provided by licensed and insured chauffeur operators under Valmore supervision. Rides are booked with 12 hours notice as standard; cancellation inside 4 hours of pickup, or a no-show after 20 minutes of wait time, is charged in full. Wait time beyond the included grace period is billed in 15-minute increments.

Vehicle condition and liability

Vehicles are photographed before and after every service. Pre-existing damage is recorded and excluded. Mechanical repairs are performed by authorised specialists under their own warranty; Valmore coordinates, inspects and reports but does not warrant third-party mechanical work.

Product Purchasing & Personal Shopping

Sourcing, negotiating and purchasing goods on your behalf, with tracking from order to delivery.

Authorisation and fees

Valmore purchases only against a written authorisation — an approved proposal or invoice. The service fee is disclosed before purchase; internal Valmore services carry no product fee. Valmore never applies a hidden markup to a supplier price.

Best-price commitment

Valmore always attempts to negotiate below the advertised price and applies any brand coupon, seasonal promotion, first-order or corporate discount available. Any resulting saving — typically 10–30% — is returned to you in full, as a lower charge or a credit after purchase.

Availability, tracking and delivery

Every purchase is subject to supplier availability confirmation. If an item is unavailable, Valmore proposes an equivalent alternative or refunds you in full. Tracking information and status alerts are provided from order to delivery.

Returns and warranty

Returns follow the supplier's own return window and condition rules; Valmore manages the return on your behalf. Manufacturer warranties are held in your name. Service fees on a completed sourcing engagement are not refunded when a return is elective.

Home Watch

Scheduled inspections of vacant and seasonal residences, with documented reports after every visit.

Scope

Home Watch is a visual inspection service for unoccupied properties: interior and exterior walk-through, water intrusion and humidity checks, HVAC and mechanical observation, security and access verification, storm preparation and post-storm assessment, with a timestamped photographic report after each visit.

What Home Watch is not

Home Watch is not property management, not a security guard service and not a maintenance contract. Valmore observes and reports; repairs are coordinated with licensed trades under separate authorisation and are billed at cost plus the agreed coordination fee.

Access, alarms and utilities

You must provide working access, alarm codes, utility continuity and current emergency contacts. Valmore cannot be responsible for conditions arising while access, power or water is unavailable to us.

Term and cancellation

Plans are billed monthly or seasonally and may be cancelled at any time, effective at the end of the current billing period. Missed visits caused by inaccessibility are not credited.

Estate Management

Full-time stewardship of occupied estates: staff oversight, vendor management, budgets, projects and household operations.

Scope

Estate Management covers household staff supervision and scheduling, vendor and contractor management, preventive maintenance planning, budget preparation and reporting, project oversight, inventory and asset registers, and standards documentation for the residence.

Household staff and payroll

Where staff are employed directly by you or your family office, Valmore supervises but is not the employer of record. Payroll, taxes, insurance and employment compliance remain with the employer of record unless a separate employer-of-record engagement is signed.

Term, notice and pricing

Engagements are annual and renew automatically with 30 days written notice to cancel. Rates are reviewed at each renewal and any adjustment is communicated at least 30 days in advance.

Domestic Staffing & Executive Search

Sourcing, vetting and placement of household and estate professionals, with a replacement guarantee.

Search and vetting

Every candidate is interviewed, reference-checked and background-screened to the extent permitted by law in the relevant jurisdiction. Valmore presents a shortlist; the hiring decision, offer and employment terms remain yours.

Fees and replacement guarantee

Placement fees are a percentage of first-year compensation, invoiced on the candidate's start date. If a placed candidate leaves or is dismissed for cause within the guarantee period stated in your agreement, Valmore conducts one replacement search at no additional placement fee.

Employment relationship

Placed professionals are employed by you or your family office, not by Valmore. You are responsible for payroll, taxes, insurance, workplace compliance and day-to-day direction unless a separate managed-employment engagement is in place.

Non-circumvention

Candidate profiles are confidential. Engaging a presented candidate directly or through another party within 12 months of introduction triggers the full placement fee.
