Projet ATLAS

Un centre de commandement privé pour quatre résidences multimillionnaires

Developed by Valmore Management & Staffing, Project ATLAS is a proprietary operating model and private technology architecture created to integrate the management of four multimillion-dollar residences located in New York, Florida, Massachusetts, and Hawaii.

ATLAS connects governance, people, properties, projects, finance, security, vendors, household services, automation, and executive reporting within one secure and intelligent environment. It replaces fragmented emails, text messages, spreadsheets, isolated property files, and undocumented decisions with one controlled, searchable, and accountable source of truth.

Project details are presented at a strategic level. Client identities, addresses, security configurations, and confidential operating information remain protected.

Les quatre piliers

Les quatre piliers du Projet ATLAS

Multi-Property Integration

One platform connecting four multimillion-dollar residences across New York, Florida, Massachusetts and Hawaii.

Private AI & Automation Workflow

Intelligent automation that anticipates needs, coordinates operations and delivers real-time, accurate information across every residence.

Financial Control — CAPEX & OPEX

Complete visibility and control of every expense, project and financial commitment with budgets, forecasts, reporting and performance KPIs.

People, Process & Performance

Empowered staff, clear processes and continuous training ensuring consistent service standards and operational excellence at every residence.

Section 1 — Intégration du portefeuille

Un portefeuille. Quatre États. Une norme opérationnelle.

ATLAS operates as a single platform across four residences in four states, applying one governance model, one documentation standard, and one accountability framework while respecting the local realities, vendors, and staffing of each property.

  • New York
  • Florida
  • Massachusetts
  • Hawaii

Section 2 — Modèle opérationnel

Bien au-delà du CAPEX et de l'OPEX

ATLAS is not merely a construction dashboard, maintenance application, or financial reporting tool. It integrates the entire operating environment of a sophisticated private residential portfolio.

  • Governance, decision authority, reporting lines, and escalation
  • Estate and residence operations
  • Preventive maintenance, inspections, and work orders
  • Capital projects, renovations, construction, permits, and closeout
  • CAPEX planning, approvals, change orders, and project controls
  • OPEX budgets, invoices, receipts, corporate cards, and forecasting
  • Vehicles, mobility, equipment, inventory, warranties, and high-value assets
  • Household staff, HR, PEO coordination, responsibilities, and performance
  • Vendors, procurement, contracts, insurance, and compliance
  • Security systems, access control, emergency readiness, and resilience
  • SOPs, service standards, guest readiness, and recurring operating calendars
  • Family-office and lifestyle-support requirements
  • Daily exception reporting, weekly briefs, monthly portfolio reviews, and strategic reporting
Every task, document, approval, asset, project, and recurring obligation has an owner, deadline, access level, source record, and escalation path.

Section 3 — Technologie

Une technologie privée, choisie pour des opérations réelles

The ATLAS environment combines established enterprise platforms, residence automation, controlled data architecture, and private artificial intelligence. Technology is configured around the client's operating reality rather than forcing the client into a generic software template.

01

Residence automation and control

Crestron: integrated lighting, climate, audiovisual, shades, access, and residence-control environments where installed.

02

Secure productivity and document control

Microsoft 365 and SharePoint for controlled files, versioning, collaboration, and permissions.

03

Private cloud infrastructure

Microsoft Azure, AWS, Google Cloud, or an approved managed private environment, depending on client requirements.

04

Task and workflow management

Asana or Monday.com for assignments, deadlines, accountability, and project visibility.

05

Financial systems

QuickBooks, NetSuite, and Bill.com connectors for budgets, invoices, payments, approvals, and reporting.

06

Construction and capital projects

Procore or Buildertrend for schedules, drawings, photos, RFIs, change orders, milestones, and closeout records.

07

Workflow automation

n8n for controlled integrations, task creation, reminders, routing, approvals, and escalation workflows.

08

Private AI and knowledge retrieval

Onyx, StackAI, or a customized controlled AI layer for approved-data consultation, source-linked answers, and role-specific assistance.

09

Secure alerts

Signal as an alert and communication channel when an authorized person must act. Signal is never the system of record.

10

Identity and security controls

SSO, MFA, encryption, device management, access logs, backups, and audit trails.

11

Mobile and desktop access

Mobile for field photos, inspections, work orders, incidents, and approvals; desktop for dashboards, budgets, reports, and document review.

Product names are referenced for clarity only. Valmore does not own third-party technologies, and not every implementation uses every platform.

Section 4 — IA privée

Demandez une fois. Vérifiez la source. Agissez en confiance.

  1. 1

An authorized user asks a natural-language question.

  2. 2

ATLAS verifies identity, role, and permissions.

  3. 3

The system searches only approved data sources.

  4. 4

The private AI returns a concise answer with source, owner, date, status, and confidence level.

  5. 5

A workflow creates or updates the required task, approval, reminder, or escalation.

  6. 6

The Executive Director / Chief of Staff sees unresolved exceptions and remains accountable.

Representative questions

  • What is the current status and budget variance of the Florida roof project?
  • Are all preventive-maintenance inspections complete this month?
  • Which vendor insurance certificates expire within 60 days?
  • Is the Hawaii residence fully prepared for the family's arrival?
  • Which invoices require approval, and which exceed the authorized threshold?

ATLAS supports decisions; it does not make them. Legal, tax, medical, security, and investment matters always require review and authorization by the responsible human professional.

Section 5 — CAPEX, OPEX et contrôle financier

Une visibilité financière connectée à la réalité opérationnelle

For CAPEX, ATLAS organizes scope, drawings, permits, schedules, bids, contracts, change orders, approvals, payment records, photographic evidence, punch lists, warranties, and closeout documentation.

For OPEX, ATLAS controls recurring maintenance, utilities, staffing costs, service agreements, insurance, transportation, household supplies, vendor invoices, corporate cards, reimbursements, and property-level budget performance.

  • Budget-to-actual visibility
  • Approval thresholds and spending controls
  • Change-order governance
  • Invoice and receipt traceability
  • Vendor and contract accountability
  • Property-level and consolidated reporting
  • Forecasting and exception management
  • Audit-ready records

Section 6 — Confidentialité

La confidentialité est l'architecture, pas une option

ATLAS applies a need-to-know model in which convenience never overrides privacy. Access is determined by role, property, assignment, sensitivity, and explicit authorization.

Level 1

General Operations

Approved SOPs, schedules, basic checklists, and assigned work orders.

Level 2

Confidential Operations

Property systems, maintenance, assets, vendors, and incident-sensitive operational information.

Level 3

Financial, HR, and Vendor Confidential

Budgets, invoices, receipts, card limits, staff records, and vendor agreements.

Level 4

Legal, Tax, Insurance, and Strategic

Attorney matters, tax packages, entity records, claims, insurance schedules, strategic decisions, and high-value assets.

Level 5

Principal, Family, Medical, Identity, and Security Restricted

Passports, private family information, authorized medical or wellness cadence, principal preferences, access codes, security diagrams, and identity records.

Role-based access control and least-privilege permissions

SSO and multifactor authentication

Encryption in transit and at rest

Device-management controls

Segregated private data zones

Source traceability and version control

Complete access, approval, and change logs

Quarterly access reviews

Controlled retention and archiving

NDAs, data-processing agreements, vendor security review, and legal review where applicable

Restricted attorney-client, tax-strategy, medical, identity, and security information excluded from general AI retrieval unless expressly authorized

Every AI-supported answer must remain traceable to an approved source, document version, date, and responsible owner.

Section 7 — Les personnes

La technologie ne fonctionne que si les personnes sont préparées à l'utiliser

Project ATLAS was designed as a people-and-technology transformation, not as a software installation. Valmore established a structured adoption period so the team could learn the properties, recover records, understand existing practices, validate responsibilities, test workflows, and progressively improve performance.

  • Protected induction, learning, and predecessor-handover period
  • Role-specific onboarding
  • SOP-based online learning modules
  • Quizzes, acknowledgments, and access authorization
  • Property-specific handbooks and service standards
  • Hands-on mobile and desktop platform training
  • Cybersecurity, confidentiality, and data-handling instruction
  • Emergency and incident-response protocols
  • Task ownership, approval, and escalation training
  • Coaching for managers and operational personnel
  • Performance monitoring, refresher training, and continuous improvement

Section 8 — Mise en œuvre

Une transformation disciplinée de 150 jours

  1. Days 1–15

Governance, authority, access groups, naming standards, document controls, and master index.

  2. Days 16–30

Recovery and classification of critical property, insurance, vehicle, vendor, legal, construction, and finance records.

  3. Days 31–45

Property baselines, asset registers, key controls, warranties, utilities, maintenance, and emergency-readiness records.

  4. Days 46–60

Staff, vendors, household operations, SOPs, contracts, onboarding, and training.

  5. Days 61–90

Projects, dashboards, work orders, CAPEX/OPEX controls, vendor performance, and reporting.

Private AI integration, approved knowledge zones, permissions, audit trails, and mobile workflows.

  7. Days 121–150

Testing, audits, drills, corrections, training validation, governance manual, and phased go-live.

Automation and AI are activated only after governance, source data, permissions, document ownership, and accountability have been validated.

La différence Valmore

Conçu par des opérateurs. Pensé pour les principaux.

Valmore does not begin by selling software. We begin by understanding the client's properties, family requirements, staffing model, vendors, risks, existing technology, reporting expectations, and preferred decision-making style.

We then design the governance model, recover and structure the information, establish controls, configure the technology, train the personnel, and implement the system in disciplined phases.

Project ATLAS demonstrates Valmore's ability to integrate people, properties, technology, finance, security, service, and governance into one discreet operating environment.

La complexité ne devrait pas gouverner votre vie.
